Personal Assistant

Location: Kirkland, WA

Hansell Tierney is searching for a personal assistant to support a Sr. Principal in all aspects of the principal’s life to ensure optimal health, organization and well-being. Candidate will possess an exceptional customer service mindset and keen attention to detail while being experienced with solving for the principal’s mobility challenges. Candidate should have strong communication skills, both written and verbal, to manage a variety of service providers including booking car service and supervising a home chef, house cleaner and coordinating with the principal’s office staff.

Clean driving record and general background is strongly preferred to run errands and occasionally drive the principal. Other requirements include flexibility to work outside of regular business hours and occasionally accompany the principal when traveling to advocate for wheelchair assistance and ensure a smooth journey. Candidate will enjoy a balance of performing routine tasks while also being able to think and implement beyond the scope of the job and continually provide exceptional service.

CORE RESPONSIBILITIES:
Personal and home management
  • Organize principal’s home and maintain a well-stocked household and kitchen by ordering supplies, snacks and beverages both online and running errands
  • Help hire and organize home chef, house cleaner and other service providers
  • Accept deliveries and coordinate unpacking/installation
  • Schedule repairs and facilitate property access
  • Run other errands and facilitate ad hoc requests as directed
Schedule coordination and facilitation
  • Schedule appointments and alert principal to scheduling conflicts
  • Arrange car service in conjunction with local appointments
  • Occasionally accompany principal to appointments and meetings
  • Occasionally book domestic and international travel including flight, hotel and ground transportation and summarize travel arrangements in a way that is easily to understand
Accounting and reporting
  • Track bills and expenses and follow up with principal on a routine basis to send payment
  • Create expense reports

  • If something goes wrong own up to it or point it out and then pitch in to help solve the problem

  • Same-day responsiveness to less urgent requests providing time frame for getting an answer or solution
  • Meet all deadlines or ask for a reasonable extension in advance of the deadline

  • Ability to process and respond to a moderate volume of email, text messages and phone calls with clarity and accuracy

Technical skills
  • Proficiency with MS Outlook and Word
  • Experience using a smart phone
Education and work experience
  • Passion for being a personal assistant/administrative work
  • High school degree and at least five years of personal assistant work experience or equivalent
